Calgary International Film Festival
Submission Regulations and Guidelines 2008


Participation in the Calgary International Film Festival implies understanding and acceptance of the following Guidelines and Regulations.

Eligibility

The Calgary International Film Festival ("CIFF" or "the Festival") accepts submissions of films of all lengths and subject matters for inclusion in the following programs: Canadian Film Works, Contemporary World Cinema, Reality Reels, Late Shows, Films for Families, the Youth Film Series, American Independent, and annual Spotlight programs (TBA).

Requirements for eligibility for 2008 selection:

  • the film was completed after January 1st, 2007, and not previously submitted to CIFF
  • all applicable licenses and waivers of copyrights, moral rights, trademarks and other such intellectual property rights have been secured by the filmmaker(s)
  • all applicable legal waivers have been obtained from all participants
  • exhibition print(s) will be complete and available for screening in Calgary between September 19th - 28th , 2008
  • exhibition print must be available on 35mm film, or on BetaSP (NTSC/PAL) or DigiBeta (NTSC/PAL) video
  • preview screeners accepted ONLY on ˝" VHS or DVD formats - preview screeners must be labeled with title, director name and running time
  • films in a language other than English must be subtitled in English
  • short films should not exceed 20 minutes
  • shipping/mailing costs must be pre-paid, and insurance is recommended
  • Submission packages must be received with all applicable fees and enclosures by Deadline of June 13, 2008

Submission Fees*:

Short films (under 20:00 minutes) $20.00 CDN $25.00 CDN
Feature length films $30.00 CDN $40.00 CDN

CIFF is pleased to waive fees for Albertan submissions. Albertan Submissions are defined as films made in the Province of Alberta, or by Filmmakers who claim residence in the Province of Alberta at the time of production.

*Per entry and non-refundable. Fees must accompany all submissions and be received with all other applicable enclosures by the deadline of June 13, 2007.

Selection

Preference will be given to submissions that have not been distributed theatrically or broadcast on television in Alberta prior to the 2008 Festival. All submissions are screened and evaluated by CIFF Preview and Selection Committees. Their reports and decisions are final and confidential. CIFF Programmers make final selections and determine in which section they are presented. Designation of a selected film’s program category, exhibition date(s), time(s), and location(s) is at the sole discretion of the Festival. The decisions of the Programmers are final. In addition, the entrant grants CIFF the right to exhibit the selected film up to five times during the Festival, including Press and Jury screenings and/or screenings in special “Best of the Fest” programs.

Upon notification of selection, the entrant agrees to immediately supply CIFF with publicity materials and grants the Festival the right to utilize such materials for promotional purposes and to broadcast and/or screen clips.

  • EPK (at minimum one copy of your electronic press kit)
  • Press Kit (one or two copies of your hard copy press kit)
  • Multiple copies of promo film clips, and or film trailer (on Beta or DVD)
  • Multiple copies of promo screeners
  • High resolution promo images (min 300 dpi)
  • Film website URL
  • Optional: send us a 2-minute internet-ready trailer for play on calgaryfilm.com

Notification

Applicants will be notified by email regarding the results of the Festival’s selection process by August 15, 2008. Please do not contact the Programming Department regarding the status of your submission before that date.

Shipping of Exhibition Prints

Upon invitation, participants will be contacted via email by the Print Traffic Coordinator with specific shipping instructions. Exhibition prints must arrive at the Festival office by September 5, 2008. Shipping costs are the sole responsibility of the participant. Invited films must be shipped pre-paid with return shipping information including the name of your courier company and your account number.

Limitation of Liability and Indemnity Provisions

Although CIFF will take every reasonable precaution for the safekeeping and proper handling of entry and exhibition materials, including the Exhibition Print(s), from the time of receipt to the time of release to the Applicant’s courier company or shipping agent, CIFF shall not be liable to Applicant, his or her heirs, legal representatives, or dependents, or their respective assignees, for loss or damage to entry and exhibition materials arising out of the transportation to and from the Festival or the operations of CIFF, its officers, directors, agents, successors and assigns, whether or not caused by the act, neglect, or default of CIFF, its officers, directors, agents, successors and assigns, or otherwise.

Notwithstanding the above, CIFF's liability for claims, costs, losses, damages of any kind or any other cause, including but not limited to liability for any fundamental breach of this agreement or for patent or copyright infringement and regardless of the form of action, shall not exceed the fees paid hereunder for the submission to the Festival. The fees charged by CIFF reflect the allocation of risk herein and the limited recourse to the Applicant provided for in this Agreement.

In addition, International participants should note that CIFF will not assume responsibility for, nor will it accept shipments incurring expenses for terminal charges, duties, taxes or customs brokerage. CIFF does not accept international shipments via United Parcel Services (UPS) since this courier does not deliver duty-free shipments to Calgary.

Finally, Applicant shall indemnify and hold CIFF harmless of and from any and all claims, losses, liabilities (including negligence, tort and strict liability), damages, judgments, suits or legal proceedings, including court costs, expenses and reasonable attorneys' fees, related to the use by CIFF of the entry and exhibition materials, including but not limited to any claim that the Applicant's entry and exhibition materials violates the intellectual property rights of another party.

Awards

Films invited to the 2008 Festival are automatically considered for nomination in all Award categories for which they are eligible. Nominations are made on the basis of achievement in form and content in their category. Notification of nomination for Award(s) will be made by email by August 15, 2008.

Award Categories (may be expanded or changed at any time)

Citytv Award for Best Canadian First Feature
Awarded for excellence to a Canadian director for their first feature-length fiction film.

Best International Feature Film Award
Awarded for excellence to an International director for their feature-length fiction film.

Best International Documentary
Awarded for excellence in non-fiction filmmaking.

National film Board Best Canadian Documentary
Awarded for excellence in Canadian non-fiction filmmaking.

Movieola Best Canadian Short
Awarded for excellence in Canadian short filmmaking.

Joe Media Group Alberta Centennial Award
Awarded to the director of the best new Albertan short film. Eligible films are those of 20 minutes or less, completed after January 1, 2007 and featuring an Albertan director, landscape or story.

The American Express People’s Choice Award
This award is open to all narrative and documentary feature films from the 2008 CIFF program. This award is voted on by the Festival audience.

Formats

Accepted formats for preview screeners*:
˝" VHS (NTSC) or DVD (NTSC or PAL)

Entries submitted in other formats will not be considered. Please test your computer-burned DVD on several makes and models of players before submitting. DVD+RW and DVD-RW are not accepted.

*Preview screeners will not be returned.

Accepted formats for exhibition:
Film: 35 mm
Video: BetaSP (NTSC/PAL) or DigiBeta (NTSC/PAL)
Under special circumstances other exhibition formats may be considered.

Please note that the preferred format for submission is NTSC.

Submission packages

The filmmakers are responsible for the accuracy of all submitted materials. The Festival accepts no liability in the event that its publications reproduce errors or omissions in submitted materials. All enclosures are mandatory and must be included for an entry to be complete.

Submissions MUST include all of the following:

  • completed and signed Official Entry Form
  • complete credits list (credits not completed will not appear in CIFF publications)
  • brief filmmaker biography and filmography
  • film synopsis (100 words)
  • preview screener
  • all applicable fees in Canadian funds

None of the enclosures will be returned. Preview screeners will not returned. Screeners are retained by the Calgary International Film Festival, and housed in the CIFF Archives. Do not send film prints, master tapes or other originals.

If using a mailer for your entry, use a bubble envelope, not a fibre-filled envelope. Loose fibre from torn fibre envelopes can cause damage to tapes and playback equipment. When submitting more than one film, please submit separate packages for each film, including separate screeners and an Official Entry Form for each.

All submissions must be sent pre-paid; the Festival will not accept collect or COD shipments. Packages should be clearly marked, "Without commercial value. Non-pornographic. For cultural purposes only".

For Canadian Customs clearance, international submission packages should include all applicable labels, commercial invoices, customs declarations and waybills, and be valued at less than $20.00 CDN.
